Are you affected by a shortage of qualified employees?

Loss of know-how
Insecurity in everyday work
Excessive demands at the grassroots level
No time to train new employees
Loss of quality
High personnel turnover
The increasing shortage of staff leads to the overburdening of employees at the grassroots level. In this environment, high staff turnover is the consequence.
The departure of experienced employees leads to a loss of know-how. This know-how must be passed on to new team members as quickly as possible. However, there is usually not enough time for a comprehensive induction.
Knowledge gaps in the team lead to uncertainties in task execution, which lowers quality and reinforces the problematic cycle.

Process management and process assurance

RiQS enables your employees to manage complex processes independently without management losing control.

Identification of weak points

Continuous optimization of your processes thanks to consistent identification of weak points and their analysis at all levels.

Comprehensive Measure management

RiQS provides the necessary modules for implementing and monitoring measures without burdening management administratively.

“Thanks to RiQS, we can routinely manage processes despite high staff turnover. Everyone knows every day which tasks are pending and how they should be implemented. At the same time, I can see how things are going at the location at any time and, if necessary, intervene in good time. It's great to see that RiQS is able to both support the team in their work and give me better insights — this was previously only possible through comprehensive reporting.”

Support for the base

RiQS is a management tool for operational units, which they adapt and use according to their needs. Digitalization of the base involves process management and document and action management, among other things. This means that upward notifications are void, as management has insight into ongoing processes at any time.

Individual responsibility at grassroots level

A top-down approach to process management is bound to result in additional administrative effort. The base is therefore disrupted in its operational activities rather than supported. RiQS gives the basis the opportunity to cover the areas from vulnerability identification to action management independently in a simple way. Management receives an overview of all departments and can support them promptly with standards and know-how if required.

Fully integrated quality and risk management

As a result, with RiQS, quality assurance and risk management become an integral part of everyday life at grassroots level. Responsibility for the matter remains with each organizational unit. The funds required for implementation are provided by RiQS. This allows each organizational unit to independently cover and automatically document the entire cycle, from the identification and assessment of weak points to action management and process assurance. Thanks to an insight into the system, headquarters and staff have the opportunity to set standards and process cross-cutting risks independently.

The RiQS cycle

01

Weakness and Risk Identification

RiQS facilitates the detection of weaknesses and risks from a variety of sources (e.g., incidents, negative control results, process deviations, or CIRS reports) and also provides the necessary modules to adequately address them.

02

Risk Management

In the risk management module, weaknesses are assessed for their potential impacts and probabilities of occurrence. It is determined whether a risk should be accepted, avoided, mitigated, or monitored. Measures such as training, checkpoints, process guides, tasks, etc., can be taken and monitored in RiQS under the respective risk.

03

Measure Management

By eliminating reports, creating transparent processes, ensuring process security, and efficient knowledge transfer, the share of administrative work in daily operations is minimized. This fact, combined with a highly user-friendly application, leads to high acceptance of the system among users at all levels.

04

Monitoring and Control

RiQS assists the management of an organizational unit in setting priorities in daily operations and not overlooking anything. The leaders are always aware of the state of their operational business and can provide targeted and timely support to affected organizational units if necessary.

What is the price of using RIQs?

For smaller organizations (e.g. individual medical practices), the number of users and the selection of features determine the total amount. In general, small organizations can assume monthly costs of roughly €7 per user. For larger organizations (e.g. hospitals, large medical practices) and practice networks, the required storage space as well as the selection of features determine the total amount. Determining a monthly amount per user is thus highly dependent on the organization and its use cases, therefore we kindly ask you to get in touch with our team for a concrete proposal.

On what devices can RIQs be used?

RIQs can be used on any desktop by logging into an account through our website. For mobile devices, we are offering apps for iOS and Android in the Apple App Store and the Google Play Store.

How long does it take to introduce RIQs to my practice?

The first step towards implementing RIQs consists of detailed planning. Together with experts from our team, we will analyze your organization, its processes, and its main challenges. Our team then develops and implements a first use case with the aim of solving one of the organization's most pressing challenges. This can take up to 2 weeks after the first meeting. Over time, further use cases will be mapped into RIQs, steadily increasing user numbers in your organization. We emphasize a patient and focussed onboarding, as we do not want to overwhelm employees and give them time to get used to the system. Throughout the first month of using RIQs our team will be in close touch with you and your employees to ensure that all questions concerning the system are answered swiftly and using RIQs becomes routine.

Will I pass the necessary certifications with RIQs? (ISO, QEP, etc.)

Our document management unites all your documents, media, and forms in one place. Using folders, specified folder structures can be mapped in RIQs, enabling central uploading, approving, editing, and sorting of all types of content within the regulatory requirements. From here, content can be connected to tasks, processes, and trainings, facilitating the operative use of documents and other media by bringing it to the right place at the right time. In addition, all forms and their filled-out copies are stored here, providing easy access to documentation. In addition, auditors can be given access to the system in “audit mode” or all relevant data can be exported to show auditors the risks one is monitoring, the measures that are being implemented in response, the status of implementation of those measures, and more.

What IT resources and skills are required to use RIQs?

RIQs was developed in practice with the reality of daily operations in mind. This includes the fact that few have extensive IT resources at their disposal, especially in times of staff shortages. Hence, introducing RIQs requires no technical expertise or resources, as the application is hosted in Switzerland in adherence to EU data protection regulations. Users access RIQs through a working Internet connection, making it the only requirement for using the system. To minimize complexity, every user will only see those parts of the system that are relevant to them in their position. Our goal is to only show what is needed to get maximum value out of RIQs for everyone without being a distraction. In case a user is stuck, every sub-page includes tutorial videos and written content, explaining the screen a user is seeing and the possible actions one can take from there. This ensures that users have an easy transition into using RIQs and can learn as they go.

After a demo meeting, which you can book here free of charge, you and our team will work to identify some of the most pressing operatives challenges you are facing. This consultation phase ends with the selection of one such challenge that will serve as the first process to be managed in RiQS. In a matter of days, the implementation begins and our team will support the onboarding process to ensure that all users understand how and why to use RiQS. During the first 2 weeks of using RiQS, our team will be in close touch with yours before reducing the frequency of touch points for weeks 3 and 4. After roughly 4 weeks, RiQS is solving one of the most pressing issues of your organization and you are equipped to independently add new processes and tasks to RiQS.

Which departments can RiQS be used in?

The system can be used in any department that benefits from digital process management and the other advantages of our software. We follow a modular approach. This means that only the modules that are actually needed are booked for each customer. It is therefore possible to use RiQS both at the base and in accounting. We would be happy to help you personally to answer this question in relation to your organization and your departments. Please feel free to contact us or book a free demo appointment directly here.
